Paihia Beach Resort & Spa 

Important: Please read these terms and conditions carefully.

By proceeding with a reservation at Paihia Beach Resort & Spa, you confirm your acceptance of these terms and conditions. These terms govern all bookings made directly with the hotel or through third-party platforms.


Definitions

  • “We,” “our,” “us” refer to Paihia Beach Resort & Spa.
  • “You,” “your” refer to the individual making the reservation, as well as any other individuals included in the booking.

Photographic Identification

Guests are required to present valid photographic identification upon check-in. Acceptable forms of identification include a driver’s license, passport, or proof of age card, provided it matches the name on the reservation.
Failure to provide valid identification may result in the cancellation of your booking, and you may be charged the full cost of your reservation as compensation for the loss incurred by the hotel.


Check-In and Check-Out

  • Check-in time: From 2:00 pm
  • Check-out time: By 10:00 am

Guests who wish to request a late check-out must notify the front desk in advance. Approval is subject to availability and will incur additional charges. For early arrivals requiring the room to be ready before 2:00 pm, the preceding night may need to be booked to guarantee immediate access.


Credit Card Fees

For guests paying by credit card, the following surcharges apply:

  • Visa & Mastercard: 2.5% processing fee
  • American Express: 4% processing fee

Guests may choose to settle their final bill with cash or EFTPOS to avoid these fees.


Payment Policies

Paihia Beach Resort & Spa operates with the following payment structures:

  1. Non-refundable bookings: Payment is processed at the time of booking and is not refundable under any circumstances.
  2. Flexible bookings: Payment is required on the day of arrival. A pre-authorization of NZD $200 will be taken 72 hours prior to your check-in date.
  3. Third-party agent bookings: Payment is due upon arrival unless specified otherwise in the agent’s terms.

For all bookings, Paihia Beach Resort & Spa reserves the right to pre-authorize the credit card provided at the time of reservation or check-in to cover incidentals. This pre-authorization is not a charge but a hold on your card that may affect your available balance or credit limit until released by your bank, typically within 7–10 working days after check-out.


Hotel Cancellation Policy

  1. Prepaid Non-Refundable Bookings:
    These bookings are final, with no refunds or modifications permitted once confirmed.
  2. Flexible Rate Bookings:
    Reservations may be canceled or amended up to 72 hours prior to arrival (12:00 pm, noon).
    • Any cancellation or modification within 72 hours will incur a charge equal to the full value of the booking.

This cancellation policy does not apply to group bookings of four or more rooms, which are subject to separate terms.


No-Show Policy

A no-show occurs when a guest does not check in on the confirmed arrival date without prior notification. In such cases, the booking will be canceled, and the full cost of the reservation will be charged to the credit card on file.


Pre-Authorization and Guarantee Policy

Guests are required to provide a valid credit card at the time of booking and again at check-in to secure their reservation.

  • For flexible bookings, a pre-authorization of NZD $200 will be taken 72 hours prior to arrival.
  • For prepaid bookings, the pre-authorization will be processed at check-in.

Please note that once a pre-authorization has been placed, we are unable to release or lower the hold until the guest's final bill is processed upon check-out. This is a banking restriction beyond the control of Paihia Beach Resort & Spa.


Gift Vouchers

Gift vouchers issued by Paihia Beach Resort & Spa are subject to the following terms:

  1. Reservations using a gift voucher are subject to availability. Please quote your voucher number at the time of booking and present the voucher upon check-in.
  2. A valid credit card must still be provided to secure the booking, and valid photo identification is required at check-in.
  3. Gift vouchers are non-transferable and cannot be redeemed for cash under any circumstances.
  4. Vouchers are valid for 12 months from the date of purchase. Expired vouchers will not be honored.
  5. Gift vouchers must be redeemed in full during a single visit. Any unused balance will be forfeited.
  6. Room upgrades or additional services may require supplementary payment, subject to availability.

Mini-Bar

The mini-bar in your room is stocked for your convenience. Charges will be applied based on consumption and added to your final bill.

  • Tea, coffee, and milk are provided complimentary.
  • Guests are required to inform the front desk at check-out of any mini-bar usage.
  • Unreported consumption will be charged to the credit card on file at the prices listed in the mini-bar menu.

Block-Out Dates and Peak Periods

During high-demand periods such as Christmas and New Year’s Eve, special terms apply:

  • 14-day cancellation policy will be enforced.
  • Corporate rates and discounts are not applicable during these periods.

Eviction Policy

To ensure the safety, comfort, and enjoyment of all guests, the hotel reserves the right to evict guests for the following reasons:

  • Intoxication or disruptive behavior.
  • Verbal or physical abuse directed at staff or other guests.
  • Property damage or vandalism.
  • Excessive noise complaints or refusal to comply with staff instructions.
  • Smoking within non-designated areas.
  • Exceeding room occupancy limits as outlined in your booking.

Evicted guests will forfeit any payments made and will remain liable for the full booking amount as well as any additional charges incurred.


Group Booking Policy

For bookings involving four or more rooms, the following terms apply:

  1. 20% deposit is required to confirm the reservation. This deposit becomes non-refundable 30 days before the arrival date.
  2. Full payment is due 30 days prior to arrival.
  3. A complete rooming list must be provided 7 days before arrival.
  4. After full payment, group bookings are non-refundable and cannot be amended.

No Smoking Policy

Paihia Beach Resort & Spa is a 100% smoke-free property. Evidence of smoking in rooms or public areas will result in a cleaning fee ranging from NZD $500 to $1,000, depending on the severity of the breach.


Room Damage and Cleaning Policy

Guests are responsible for maintaining the condition of their rooms. Any damages to the property, excessive cleaning requirements, or missing items will be charged to the credit card on file.


Facilities and Services

Please note that listed amenities may vary by room type, and not all features are available in every accommodation category.

We strive to provide accurate descriptions of our facilities and services; however, these may be subject to updates, renovations, or maintenance closures without prior notice.

If a particular facility or service is essential to your stay, please contact the hotel directly before booking to confirm its availability during your reservation dates.

Paihia Beach Resort & Spa is not responsible for any omissions, inaccuracies, or changes to facilities and services, whether temporary or permanent.


Liability and Indemnity

  • Personal Property: All valuables, goods, or vehicles brought onto the premises are the sole responsibility of the guest. Paihia Beach Resort & Spa does not accept liability for their safekeeping.
  • Release of Liability: By staying at Paihia Beach Resort & Spa, you agree to release the hotel and its staff from any claims arising from loss, damage, or injury during your stay.
  • Indemnity: Guests agree to indemnify the hotel for any costs, claims, or liabilities arising from their actions or those of their guests.

General Terms

Paihia Beach Resort & Spa reserves the right to:

  • Cancel or decline bookings that conflict with its business policies or brand values.
  • Modify these terms and conditions at any time without prior notice.

These terms and conditions are governed by and will be interpreted in accordance with the laws of New Zealand.
